This FAQ was written for QB 2009, older editions might have a slightly different procedure, but is basically the same.
Steps to backp your QuickBooks Company File:
1) Select File from the QuickBooks toolbar
2) From the drop-down list select Save Copy or Backup...
3) From the QuickBooks Back Up menu screen click the Backup copy radio button, click the Next button
4) Click the Local Backup radio button, click the Next button
5) Click the Save it now radio button, click the Next button
6) In the Save in field select the directory or folder where you want to save the QB company file backup copy. In the File name field enter the file name for the company backup file (it will auto-fill with the name of the previous backup copy, we suggest always using the same name), click the Save button
7) A Working window will display the status of the backup as it progresses, then a QuickBooks Information window will indicate the backup copy has been saved, click the OK button
8) Usually QB limits the number of backup copies to three (this setting is configurable) if you have exceeded the number of backup copies QB will ask to delete the oldest copy, click Yes, Delete button to delete the oldest backup copy
You have successfully backed up your QuickBooks Company file.
